It's easy to pick up, fun for all fitness levels, and a lot more interesting than another round of mini golf. But like any event, the difference between a smooth afternoon and a chaotic one comes down to planning.
Whether you're an HR manager organizing your first pickleball outing or an event planner who's done this a dozen times, this checklist will make sure nothing falls through the cracks.
6-8 Weeks Out: Lock In the Logistics
**Nail down your venue.**
This is your biggest variable. You need courts (ideally dedicated pickleball courts, but converted tennis courts work too). Call ahead and confirm the number of courts available, whether they're indoor or outdoor, and if the facility provides nets and equipment or if you're bringing your own. If you're hosting at a hotel or resort, ask if they have pickleball courts or can set them up for your group.
**Get a headcount.**
You don't need an exact number yet, but get a realistic range. One court can handle about 8-10 players per hour in a round-robin format. If you've got 50 people, you'll want at least 4-5 courts running.
**Set your budget.**
Break it down into buckets: venue rental, equipment, branded merchandise, food and drinks, and any extras like a pro instructor or photographer. Having a per-person number in mind helps when you're making decisions down the line.
**Order your branded paddles early.**
This is the one most people wait too long on. **Confirm equipment needs.**

**Think about skill levels.**

**Confirm your venue booking.**
Call or email and get written confirmation. Double-check the time block, number of courts, and any setup requirements.
**Finalize your branded merchandise order.**

**Designate an on-site point person.**

1 Week Out: Final Prep
**Print or prepare your scoresheets.**
Even for casual events, having scoresheets or a simple rotation schedule posted somewhere keeps things organized and gives people something to follow.
**Confirm your catering or food setup.**
Whether it's a full lunch, a snack spread, or just beverages, confirm the timing and quantities.
**Pack your supplies.**
Balls, paddles, score sheets, tape for court markings if needed, a first aid kit, and sunscreen if you're outdoors. You'd be surprised what gets forgotten.
**Brief your on-site point person.**
Walk through the schedule, answer any questions, and make sure they have contact info for the venue.
Day Of: Keep It Simple
**Arrive 30-45 minutes early.**
Set up courts, lay out equipment, and get familiar with the space before guests arrive.
**Start with a quick welcome and rules rundown.**
Five minutes. Cover the basics of pickleball scoring, the kitchen rule (no volleying at the net), and how the rotation works. Keep it light and don't overthink it.
**Take photos.**
These are great for internal newsletters, social media, and future event promotion. If you've got branded paddles, get a group shot. It's also useful content for next time you need to sell leadership on a team event budget.
**Have fun with it.**
